User manual: how to book and manage parking spots in the web app

Tidaro is an intuitive app that lets you book and manage company parking spots.

Booking parking spots

In the Tidaro app, employees can book a parking spot for the entire day, or for several hours.  

Here are the steps to book a parking spot in Tidaro:  

  1. When you enter Tidaro, from the Spots tab, go straight to Book a spot.
  2. From the dropdown menu, choose the parking area in which you want to book a spot. 
  3. If you need a spot for the entire day, you can switch the toggle from Hourly to Daily. Otherwise, you can select the most convenient period for your booking, by choosing specific hours and minutes.

4. Next, go to When do you want to park. To book the first available spot on your chosen day, click on Book any and the system will assign it to you. 

5. If you want to pick a specific parking spot, you can click on Choose to open the map of the parking lot. On the map, the available spots are represented by green circles. You can use the mouse scroll to zoom on the map. Click on one of the circles, then confirm your choice by using the Book this spot button at the bottom of the screen.

6. You can repeat the process to book a spot for other days in the office. If you want to see where your booked spots are in the parking lot, click on the Locate button next to your confirmed booking.

7. Once you have a booking confirmed, it will show up in the app, within Spots, inside the Home tab. You can see the time details next to the booked spot. If no specific time is showing up, it means that the booking was made for the entire day. In the example below, there is a booked parking spot for Aug 21st between 9 am and 4:50 pm, while on Aug 23rd, the spot was booked for the whole day.

NOTE FOR FREE DEMO ACCOUNT USERS: In the free demo account, the setup was built with an employee that has a permanently assigned parking spot (a grey circle is used to show assigned spots). 

IMPORTANT INFORMATION ABOUT HOURLY BOOKINGS:  The feature that allows employees to book a parking spot for several hours is not available for everyone. If you want this feature enabled, contact us at support@tidaro.com and we will add you to the waiting list in order to enable it for you. 

Joining waiting lists to book a spot

1. When you enter Tidaro, from the Spots tab, head over to Book a spot. 

2. Choose your desired parking area from the dropdown. If there are no spots available for your desired days, you can join a waiting list, by clicking on the Join the waiting list button. You can join multiple lists for multiple parking areas.

3.  It seems that you are the 1st on the waiting list. A confirmation message is now showing up on the screen saying that if a parking spot will become available, the system will automatically book it for you, and you will receive a notification with the details.

4.  If you no longer need a parking spot for the day, you can click on Get off and you will no longer be in the list. A message will show up asking you to confirm this action.

5. You can also get off from a waiting list from the Home tab, not only from the Book a spot tab. 

6.  If you confirm the booking, you will see that a specific spot will be assigned to you, and you can click the Locate button to see it on the map.  

IMPORTANT! Customers must contact us to enable this functionality. 

Releasing parking spots

  1. Go to the spots section in the menu, and proceed to the release spots tab.
  2. You will see a list of booked spots. Mark those you want to release by clicking a green circles and confirm your choice by clicking release button at the bottom of the screen.

ADMINS: Booking priorities for parking spots

This feature allows you to set a number of visible days for booking differently for every employee group. For instance, a group “sales” can book up to 10 days ahead, and a group “marketing” has a possibility to book 5 days ahead.

We created this option to let admins adjust Tidaro app to different styles of organization. If some of your employees plan meetings days, or even weeks ahead, you can now let them also book resources far in advance.

NOTE: Employee groups are created during account configuration and can’t be created manually in the app. If you want to add or configure employee groups, please contact us at support@tidaro.com

  1. To check or change employees’ groups, go to the Preferences tab in the menu.
  2. Unfold the manage employees tab, and click employees.
  3. Choose employee you want to overview.
  4. In the details you will see in what groups the employee is. 
  5. For example, you can have a group called “Drivers” for all the employees that are driving the company’s cars. You can allow them to book 10 days in advance.
  6. In the example below, Nancy has been assigned to the Sales Team and Drivers groups. You can always go to Edit and change the group for a specific employee.

ADMINS: Assigning employees to groups and group filtering

During the application configuration, you will create custom parking groups for users. Later on, you can assign those groups to specific parking zones. Employees in those groups will be able to book spots in assigned zones, in addition to booking in areas open for everybody.

Here are some ideas on how to use this feature:

  1. If your company has more than one building, you can create a separate group for every building to let employees park next to their offices.
  2. Create a group of electric vehicles users and assign them to zone with EV chargers.
  3. For employees who travel a lot during their workday, you can create a group with a separate zone, to let them park in the same place. This way, they will save time on parking lot.
  4. If your employees practice carpooling or any other form of group transportation, you can create a group for them with zone close to the office, to further encourage ecological forms of commuting.

NOTE: Employee groups are created during account configuration and can’t be created manually in the app. If you want to add or configure employee groups, please contact us at support@tidaro.com. The feature does not need to be turned on. 

 

Here’s how you can assign employees to groups:

  1. Go to preferences section in the menu.
  2. Unfold the manage spots menu and click manage parking spots.
  3. Choose the parking area you want to manage.

  2. Click + assign employee group button at the bottom of the screen.
  3. Choose the group from the list list, and confirm your choice with + assign button at the bottom of the screen.

Now, after you create groups and assign employees to them you use the group filtering option. 

Filtering employees by group can happen inside: 

  • Employee lists under Preferences – Manage Employees – Employees. 

Now, let’s filter employees that have no group assigned.  

In this example, there are four employees that are not distributed to any group. They might be some newly hired employees that will need to be assigned to a group.

  • Reports under Preferences – Reports.  

Here you can filter employees by group in attendance reports (desk + spots),  as well as employee activity reports (desk + spots). 

You can also add employee groups to employee CSV export data report. 

ADMINS: Managing employees

  1. Go to preferences section in the menu.
  2. Unfold the manage employees menu and click employees.
  3. Search for the employee you want to manage in the app from the list. You can search through the list using search bar above.

  2. Next screen shows all employee’s reservations that you can now manage.

ADMINS: Inviting new employees

  1. Go to preferences section in the menu.
  2. Unfold the manage employees menu and click employees.
  1. Click invite an employee button at the bottom.
  2. Fill in the name and email address, and assign a new employee to the proper zones.
  3. Confirm your actions with invite an employee button at the bottom.

ADMINS: Deleting employees

NOTE FOR FREE DEMO ACCOUNT USERS: In the free demo account you can only invite new users. You can’t instantly add simulated users.

  1. Go to preferences section in the menu.
  2. Unfold the manage employees menu and click employees.
  3. Search for the employee you want to delete in the app from the list. You can search through the list using search bar above.
  1. Click on the name of the employee you want to delete.
  2. Click Remove button under remove employee section, and confirm your action with Yes, I’m sure! button.

ADMINS: Resending the account activation email

  1. Go to preferences section in the menu.
  2. Unfold the manage employees menu and click employees.
  3. Search for the employee you will resend the invitation to from the list. You can search through the list using search bar above.
  1. Click on the name of the employee you want to resend the invitation to.
  2. Click resend the account activation email and confirm your action with Yes, resend it! button.

ADMINS: Setting a default number of visible workdays available for booking

With this feature you can control how many days in advance employees see in a booking section. If you want your employees to plan their office visits weekly, we recommend setting this number to 5, but you can play around this number and see what fits your company best.

If your employees book resources in Tidaro app and then don’t use them, you can try to solve this problem by setting this value low.

  1. Go to preferences section in the menu.
  2. Unfold the manage parking spots menu and click parking spot releasing settings.
  3. Type in a new value and confirm changes by clicking save button.

ADMINS: Disabling the spot sharing feature

  1. Go to preferences section in the menu.
  2. Unfold the manage parking spots menu and click parking spot releasing settings.
  3. Click release only to “book a spot” tab and confirm changes by clicking save button.

ADMINS: Overviewing the car park

  1. Go to preferences section in the menu.
  2. Unfold the manage parking spots menu and click car park overview.
  3. Choose the date and the zone you want to overview.
  1. The app will show you a list of all spots in the zone.
  2. To change the reservation, click change button next to the desk, choose what you want to do, and apply changes with confirm button.

ADMINS: Providing license plate numbers

During account configuration, the company decides if employees should provide their plate numbers in the app. If so, employees will need to type up to 3 plate numbers before the first booking. There will be a notification on the home screen.

To add plates numbers, click add on the notification. The app will display a pop up where you can provide up to 3 numbers. Type in at least 1, and confirm your action with save button.
